Privacy Policy

Poli is a service using popular messaging and technology platforms to improve the accuracy of results obtained from polling data.
Poli provides an online Polling Service and allows you to respond to questions about points of public policy, from which responses are collected and published in an aggregated and anonymised format.
Poli is run by Politech Limited (we, us, our) and we collect and use information in order to run and manage Poli. This policy sets out how we do this and applies to anyone who uses Poli Please read it carefully and if you have any questions please contact us using the details on our home page.

Who do we collect information from?

When you use Poli through Facebook Messenger, Facebook may make available to us information from your Facebook profile information, including your profile picture, gender, user name, user ID associated with your account, age range, language, country, friends list, and any other information you permit Facebook to share with third parties.
The data that is made available to us is dependent upon your privacy settings with the social network but we will not use this data for our own purposes; for example we will never combine any information from your Facebook profile with any of your responses to our polling questions and we will never share any information from your Facebook profile with third parties.
You should always review, and if necessary, adjust your privacy settings on third-party websites and services before using our service. This privacy policy applies solely to information collected by Poli through the Polling Services.

What information do we collect about you?

When you access Poli via Facebook Messenger, we will only collect the responses to the questions that we ask you as part of the Polling Service. We will never publish your personal details as part of the polling data that we publish and any data that we do publish based on your responses will be in an anonymised, aggregated format.
As part of the service, we may ask you questions which require you to disclose sensitive personal data, where this is relevant to the poll being run. For example, we may ask you questions about your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade-union membership; data concerning health or sex life and sexual orientation. You do not have to answer any questions or disclose any information of this nature if you do not wish to. If you choose to respond to such questions, you agree that the sensitive personal data you disclosed will be collected by us and form part of the anonymised, aggregated polling data that we publish.

From time to time we may collect:

  • information you choose to send to us, for example in an email;
  • some technical information about how you use Poli, for example the type of device you are using, your operating system, IP address, uniform resource locator (URL) and length of visit.

How do we use your information?

We use information about you to:

  • provide the Poli application and make sure you can use it properly and effectively;
  • respond to any questions, requests or complaints we receive from you;
  • communicate with you about Poli if we need to;
  • investigate potential illegal activities on Poli;
  • to analyse use of Poli; and
  • to improve Poli.
We will never use your information to target advertising at you based on your behavior. We will not build a personal profile of you [other than using a unique anonymised ID] for the purposes of recording your answers to the questions asked on the service and your preferences. We also won't use your information for any purposes except those above without letting you know and getting your permission if necessary.

Who do we share your information with?

We don't sell your information.

We don't share the information that is provided to us (whether your unique anonymised ID or your polling responses) except:

  • third party service providers, such as hosting providers may have access to the anonymised form of the data in the course of their provision of services to us;
  • if we have a legal obligation to disclose the information (for example, if a court orders us to);
  • if another company buys our company, or if we go insolvent, or if we merge with another company, in which case the company that receives your information will protect the information in the same way we do. If we transfer our obligations under our terms of use to another company, this may mean that we need to transfer your personal data to that company. We will contact you to let you know if we plan to do this. If you are unhappy with the transfer you may contact us to end your contract with us within 30 days and if you do so, we will not transfer your data to that company; and
  • in respect of your polling responses only, with third parties (in anonymised and aggregated form only) to understand sentiment on public policy issues.

All information collected through Poli is stored using Google Cloud. We take reasonable steps to protect your personal data when it is transferred to Google Cloud, and Google participates in the Privacy Shield arrangement. This means it safeguards your personal data appropriately.

Security

We have strict security measures in place to try to protect your information and make sure that it is not lost, damaged or accessed by anyone who should not see it. We require our employees to only use your data in compliance with this policy to ensure the security and confidentiality of your data. Your data is stored in Google Cloud using Google's security model – https://cloud.google.com/security/. In the unlikely event of an unauthorized disclosure of your data we will notify you and act in accordance with our legal requirements to resolve such disclosure and prevent any further unauthorized disclosure.

Your rights

You can ask us for a copy of your personal information and we will try and send this to you as soon as possible (but within any event in compliance with relevant data protection legislation). You can also ask us to correct any information we hold about you that is inaccurate. If you would like us to send you a copy of your information or correct your information, please email us at privacy@polihq.com.
At the end of your relationship with Poli you can ask us to delete your data and we will do so as far as we are reasonably able and subject to our legal requirements to retain such data. You can also request that we provide you with written confirmation (including in the form of a certificate) of the deletion of your data, which we will provide if we have deleted that data and can provide evidence of this.

Deleting information

We don't keep your information for longer than we need to for the purposes listed in this policy.
We have the right to delete any record of your use of the Polling Service (or your account if you have one) if you haven't used the Polling Services for a long time.
If you have an account with us, we will contact you in advance to notify you prior to deleting your account.

Changes to this policy

From time to time we may need to change this policy. We will not reduce your rights under this policy, or use your data for purposes not covered by it, without your consent. We will post any changes within the policy, so you should check the policy regularly for any changes. If the changes are significant we will provide a more prominent notice which will be displayed to you when you use our service.
